Privacy legislation (GDPR / AVG)
From 25 May 2018, the General Data Protection Regulation (GDPR) applies. This new privacy law, internationally referred to as the General Data Protection Regulation (GDPR), applies throughout the European Union and concerns, among other things, the storage and protection of personal data.
What are personal data?
There are data that say something about you. For example your name, address, age. When (a combination of) this data can be traced back to you, we speak of personal data. For example, your address or e-mail address. But also, for example, your first name together with your date of birth. When others have that personal data, they must handle it with care. Photos and videos are also regarded as personal data.
Whose personal data does Soyl NV process?
Soyl NV only processes personal data of people with whom we have, want to have or have had a direct or indirect relationship. These are, for example, data from:
- People who have shown interest in Soyl NV via a contact form on our website.
- People who are affiliated with a company or organization with whom we have, want to have or have had a relationship.
What does Soyl NV process personal data for?
First of all, there are the practical matters for which we process data. For example, for all kinds of administrative processes related to invoicing, quotations, and so on. If you contact us via a form on the website, we need your personal data to be able to contact you again.
Data may also be used for promotional or marketing purposes. For example, to inform you about new projects or general news items. Do you not wish to receive any informative communication from us? Then click on “Unsubscribe” or “Unsubscribe” in the relevant e-mail. This will delete your email address and you will not receive automatic emails from us until you re-register.
In the case of a job application, you are responsible for the content you provide in the requested motivation letter and CV.
Does Soyl NV also process special personal data?
Special personal data are sensitive data, for example about health, criminal history, ethnic data or data concerning race. We only process special personal data if we have to do so on the basis of the law, with your permission or if you ask us to. In the latter case, we only process this data if this is necessary for our services.
Who can access my personal data?
Within Soyl NV, your personal data can only be consulted by employees of Soyl NV.
Soyl NV cannot and may not exchange data with external parties without the explicit consent of the persons involved. Contact us via info@soyl.be to request an overview of all your personal data that we process. Your personal data will be stored carefully and will not be processed for longer than necessary for normal use. We can make changes at your request (e.g. address changes). For statistical and technical purposes, it is possible that the e-mail traffic through forms on the website is monitored by the developer of this website. No data is stored for further use, and only serves to guarantee the functioning of the relevant forms.
How long will my data be kept?
Data related to customers is kept for as long as necessary for administrative or accounting purposes. Data obtained via a form on this website will be kept as long as it is relevant to the relevant communication.
Unsubscribed email addresses for newsletters (using, for example, MailChimp) are kept in a limited form in order to continue to generate statistical information such as registration numbers over the years. Under no circumstances will you be contacted again via an automatic mailing without your prior consent.
Data is either kept internally on secure computers, or on Combell's web servers (www.combell.be), where Combell is responsible for the security of access to these servers.
Can I see which data Soyl NV processes from me?
Of course. Contact us via info@soyl.be with the request to forward all your details and we will process your request as soon as possible. If desired, you can pass on changes, or ask to be completely deleted from our file.
All data remains in the European Union and is fully covered by the legal purpose of the GDPR.
Where can I go with a question or complaint?
For questions or complaints about the processing of personal data by Soyl NV, or to view the available information and to have it changed or deleted if desired, you can easily contact us via info@soyl.be. If you believe that your data is being processed unlawfully, you can also contact the Privacy Commission.
Who is responsible for the processing of my personal data?
All personal data at Soyl is processed either by self-made software (e.g. for invoicing and forwarding files), or by MailChimp (www.mailchimp.com – for processing email addresses for mailings). This software is only managed by Soyl employees, who ensure the correct registration of your personal data.

What does Soyl actually do with my data?
Soyl asks for your data in 3 situations:
(1) General contact form: we ask for your name and email address. We need this to be able to contact you back. We also ask how we can be of service to you, making it possible to put you in touch with the right employee immediately. Finally, you can enter a message in which you can formulate your question or comment. Your current IP address is also stored to prevent misuse.
This data is kept until the end of the necessary communication.
(2) Application form: your name and e-mail address is necessary to be able to contact you again. We also ask for your CV and motivation letter, so that we can make a first selection in the application process. If you have an online portfolio, you can also send it optionally. Your current IP address is also stored to prevent misuse.
This data can be kept to maintain an internal application list, which Soyl can consult if there is a need for extra staff.
(3) Client Area: In order to give you access to our Client Area, we need your login details (email address and password). These are only for verification purposes and will not be forwarded to us under any circumstances. Here you can enable the checkbox “Remember Me”, which saves a cookie with your login details so that you do not have to enter them on your next visit. This cookie is stored on your computer in an encrypted form.
This data will not be stored further.
Opt-out & Right to forget
Soyl NV can send you (automatic) messages. Think of a confirmation of sending an information or application request, or an auto-reply if an employee is absent. It is not possible to unsubscribe from these service messages. Soyl NV considers these to be necessary for a good user experience.
If you wish us to delete all data we have from you, please submit a request via info@soyl.be. We will endeavor to comply with your request as quickly as possible, taking into account all legal/accounting obligations.
For other messages, it is possible to unsubscribe from receiving messages by means of an OPT-OUT in every e-mail. Each automatic message will contain an “Unsubscribe” or “Unsubscribe” link where you can unsubscribe. In the rare case that this should not be the case, you can always inform us by email at info@soyl.be.
Cookies
Soyl NV is legally obliged to inform visitors about cookie use. A cookie is a small text file that is stored on your device. Cookies allow (among other things) to save your preferences, settings, login information, security, advertisements, etc ... and to reuse them on a subsequent visit. Soyl NV uses functional cookies (e.g. to remember a choice of language) and cookies for the management of web statistics & social media. These cookies do not store any personal data and can therefore not be linked to an individual.
Each browser contains tools to read, block or delete cookies. Disabling cookies may affect the ease of use of this website.
For the users of the Client Area and/or Backstage of Soyl NV, it is possible to store a cookie whereby your login information is stored in a secure form on your computer. It is possible to uncheck this box at any time, so that no data is saved.
